Administrative Assistant - Development

Essential Accountabilities and Expected Outcomes
This position reports to the Director of Donor Relations. Provide direct administrative support to assigned development and donor services staff and functions for Minnesota Community Foundation and The Saint Paul Foundation as demonstrated by ability to:
  • Efficiently prioritize, track, coordinate and complete multiple tasks, manage the calendar, correspondence, incoming phone calls, electronic communications and mail for staff as well as coordinate and assist with meetings, educational briefings, events, forums and mailings as assigned
  • Accurately type, proofread and edit correspondence, reports, memos, agendas, minutes and other documents according to Foundation guidelines
  • Set up and maintain necessary paper and electronic files
  • Prepare and process all check requisitions and invoices for community funds, donor advised funds and others funds as needed
  • Prepare and process expense reimbursements for staff as directed
  • Poll for meetings as assigned and coordinate meetings to ensure final results reflect positively on the Foundation
  • Prepare Donor Advised Handbooks, charts and reports
  • Provide support to the planning and execution of the Community Funds education model
  • Provide appropriate assistance and informal training on office equipment and network software as needed. Seek necessary support from Technology staff as appropriate
  • Other administrative projects and tasks as assigned

Requirements
Associate's Degree or equivalent with three years experience in a professional office environment preferred.

Basic to intermediate level knowledge of Windows 2000 and Microsoft Office 2000 required.

Minimum typing speed of 45 wpm with 99% accuracy. Minimum of one year of database experience preferred.

Proven ability to prioritize, handle multiple tasks simultaneously with strong attention to detail, manage time and resources efficiently and effectively, collaborate positively with others, organize self and others, work independently, and proactively identify or initiate ways to enhance a process, procedure or outcome that benefits the organization.

High degree of confidentiality and the ability to use good judgment in handling confidential and/or sensitive information and materials.

Strong verbal and written communication skills with the ability to effectively interface with staff, donors, Board and Committee members of the Foundation.

Demonstrated ability to accurately proofread documents and materials.

Information Technology Technician

Essential Accountabilities and Expected Outcomes
Provide information technology support to Foundation, including network, telecommunications, voicemail, security systems, office equipment, hardware, and software and end user requests.

Network Administration
Provide support and assistance to the foundation’s network and related servers, desktops and peripherals in a manner that maintains and secures all databases, minimizes downtime, maximizes system productivity and performance and meets user needs for information and database interface.

    • Assist with maintaining software licenses
    • Implement monthly and yearly updates on software and hardware replacements
    • Install hardware and software products as directed
    • Create user accounts and maintain security levels as directed
    • Check backup of network and properly rotate tapes
    • Develop and maintain a routing maintenance schedule
    • Participate in planning for hardware and software
    • Recommend and implement enhancements as appropriate

Help Desk
Provide necessary support to meet end users needs.

    • Identify, research and resolve technical issues
    • Respond to all requests for technical support in a manner that ensures timely communication and resolution
    • Track and monitor help desk requests
    • Support, monitor, test and troubleshoot hardware and software issues related to the network and peripherals
    • Install and configure desktops and peripherals
    • Provide end-user support in areas of report writing, report generation, mail lists and queries and troubleshooting

Telecommunications, Voicemail, Security System and Other Office Equipment Support
Provide necessary support with the foundation’s telecommunication, voicemail and security systems and other office equipment to ensure maximum system performance and productivity.

    • Provide prompt, reliable support to all users requests
    • Assist with installation of new desktops
    • Assist with setup of telephones, voicemail and security access
    • Provide support as needed on office equipment (e.g. copiers, scanners, LCD projectors, fax machines, printers)

Position Qualifications
Bachelor’s degree or equivalent plus three year’s experience in a professional IT environment with Windows server administration experience and/or training and knowledge of applicable related system software, hardware and technical support.

Knowledge of telecommunication system administration and management of voicemail systems a plus. Ability to rely on experience and judgment to plan and accomplish goals and perform a wide variety of tasks in software/hardware maintenance and operational support of systems.

Familiar with standard concepts, practices and procedures within the field. Strong organization, service orientation, verbal and written skills are required.

Director of Human Resources

To manage the human resources functions of Minnesota Community Foundation and The Saint Paul Foundation. This position will oversee, develop and administer a variety of human resources activities. Major areas of responsibility will include:
  • recruitment support and candidate selection,
  • employee relations,
  • performance management,
  • employee training,
  • compensation,
  • benefits,
  • employment law,
  • and compliance.

This position will support the development of staff so that people and the organization are performing at maximum capability in a highly fulfilling manner. Additionally, this position will develop transition strategies for affected individuals, as needed, including organizing needed training and helping employees develop plans to achieve their potential.

Qualifications

Bachelor's degree and certified credentials in Human Resources, organizational development or related field plus eight to 10 years of experience in human resources.

An understanding of people and their problems and a sense of fairness, consistency and community building. Exemplary interpersonal skills that build respect, trust, confidence and credibility.

Experience in development and delivering effective employee training. Experience in coaching and counseling. Experience in office and facilities management. Supervision experience. Demonstrated knowledge, skill and ability of current office technology and related computer programs including but not limited to Microsoft Office 2003. Work in a non-profit setting preferred.
